Geo and Onsite Privacy Policy
The Geo web application and integrated Onsite mobile application (collectively referred to as the ‘Applications’) are owned and maintained by Green Energy Trading PTY LTD (Green Energy Trading).
This Privacy Policy applies to all personal information submitted by users on the Applications. Green Energy Trading considers respect for privacy and confidentiality to be fundamental principles for good business practice. We are committed to treating the personal information we collect in accordance with the Australian Privacy Principes (APPs) uner the Privacy Act 1988 (Cth) (Privacy Act).
1. Consent
By accessing the Applications, all users consent to the collection, use, disclosure, storage and processing of information they submit while using the Applications in accordance with this Privacy Policy.
2. Personal Information Collected
To use the Applications, users will need to submit certain personal information such as their:
email address
Name
contact information
industry and certain company information
From time to time, users may be asked to submit updated or additional information to continue their use of the Applications.
3. Collection and Usage of Data
The Applications work in conjunction to act as client portals to facilitate the creation of environmental certificates. The Applications are designed to allow users to submit and manage evidence for the creation of certificates while ensuring the security of your personal information.
The types of information collected include:
Personal details (email, contact details, signatures)
Installer training, licence and accreditation details
Company details
System owner details
Installation activity details
Photos and videos
Files and documents
Application activity
Device or other IDs
Location data
Usage information
Green Energy Trading reserves the right to use data submitted on the Applications and usage information for marketing, business intelligence, and to improve system design and user experience.
4. Disclosure and Sharing of Data
Green Energy Trading is a subsidiary of the Green Energy Group. Information collected using Green Energy Trading applications may be shared with other subsidiaries under the Green Energy Group (collectively, the ‘Subsidiary(ies)’); including but not limited to National Carbon Bank of Australia PTY LTD, solely for the purpose of certificate creation.
Information submitted by users on the Applications is shared with your relevant Subsidiary and your solution provider company (Geo Administrator) in accordance with the relationship agreement between your relevant Subsidiary and Geo Administrator.
The Subsidiaries are required to disclose some personal information to regulators and third parties for certificate creation and trading. Environmental certificate assignment forms are agreements between the Geo Administrator and the Subsidiaries. These forms have been endorsed by the regulators for certificate creation. The information they contain is required by the regulator to enable the financial benefits to be monetised.
Agreements may also exist between the Geo Administrator and their Subsidiary which direct the proceeds of certificate creation to a third party for the purposes of providing the system owner with an upfront discount on their installation.
Green Energy Trading will not disclose your personal information to third parties unless:
as set out in this Privacy Policy;
permitted by law; or
by your consent.
When disclosing personal information, Green Energy Trading ensures it aligns with the original purpose of collection, or a related or ancillary purpose. Third parties who may receive your personal information to include:
experts or other third parties contracted as part of a certificate assignment; or
if you are an employee, a contractor or supplier of services to a client, then we may disclose your personal information as part of providing services to that client.
We do not disclose personal information to third parties for the purpose of allowing them to send marketing material to you. However, we may share non personal, de-identified or aggregated information to them for research or promotional purposes.
5. Storage, security, and Data Breach Handling
5.1 Storage and Protection
Green Energy Trading securely stores users’ personal information in Australia or other jurisdictions selected from time to time for service provision.
We take reasonable steps to protect any personal information from misuse, loss and unauthorised access or disclosure, including:
Physical security measures (e.g., security passes for office entry)
Technological safeguards (e.g., encryption, firewalls, password protection, multi-factor authentication, and digital certificates)
Personal information you provide will be retained only for as long as necessary for its collected purpose, legal obligations, or company retention policies.
5.2 Data Breach and Jurisdiction
In the event of a data breach, Green Energy Trading will comply with the Notifiable Data Breaches (NDB) scheme under the Privacy Act 1988 (Cth). If a breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC).
Green Energy Trading is not responsible for data breaches resulting from users being hacked or improperly protecting their login credentials.
6. Terms of use
6.1 Subsidiary terms of use
Use of the Applications is subject to the terms and conditions agreed upon between the user’s relevant Subsidiary and Geo Administrator.
6. 2 User Responsibilities
Users are solely responsible for ensuring that any submitted information (personal data, evidence, documents, or images) is accurate and compliant with applicable laws. Users must have the necessary permissions to upload such content. The Applications reserve the right to remove any content violating these terms.
6.3 Limitation of Liability
Green Energy Trading is not responsible for issues arising from:
Internet connectivity problems;
GPS inaccuracies;
Device malfunctions.
Users acknowledge that these external factors may affect Application performance. Green Energy Trading disclaims liability for any resulting damages or losses.
